Refund & Payment Policy

At White Mountain Camp, each expedition is meticulously planned and involves long-term commitments with guides, park authorities, accommodation partners, and logistics providers. For this reason, the following payment and refund terms apply.

1. Deposit / Pre-Payment

• A 50% deposit of the total trip price is required to secure your reservation.
• The deposit is non-refundable.
• An exception may be considered only if a documented medical condition prevents safe participation in the climb.
• Such requests must be supported by a formal letter from a licensed medical doctor, clearly stating that the individual is medically unfit to climb Kilimanjaro.
• Approved medical cancellations may be eligible for a partial or full credit toward a future expedition (at White Mountain Camps’ discretion).

2. Balance Payment

• The remaining 50% balance is due 60 days prior to trip commencement.
• For bookings made online, you authorise White Mountain Camp at checkout to automatically charge the remaining balance to the same card on the due date. You will be reminded before the charge, and can contact us at any time to change the payment method.
• Failure to pay the balance by the due date will result in the reservation being considered unconfirmed.
• White Mountain Camps reserves the right to release the space to other guests.
• Deposits remain non-refundable.

3. Cancellations by the Guest

If a guest cancels:

• More than 60 days before departure: Deposit retained.
• Less than 60 days before departure: 100% of payments retained.

Due to fixed operational costs, refunds cannot be guaranteed for late cancellations.

4. Medical Cancellations

Medical cancellations require:

• Written notice
• Supporting documentation from a licensed physician

White Mountain Camps may offer:

• Trip credit
• Transfer to another departure
• Partial refund (case-by-case basis)

Add-On Experiences Policy

These terms apply to optional experiences including (but not limited to):

• Safari Extensions
• Tribal / Cultural Experiences
• Private Upgrades
• Content Creator Packages
• Massage & Wellness Services

Deposit & Payment

• A 50% deposit is required to secure add-on experiences.
• The balance is due 60 days prior to the start of the main trip.

Refund Terms

• Deposits are non-refundable
• Less than 60 days cancellation: 100% retained
• Medical exceptions may be reviewed with doctor’s documentation

Add-on experiences involve third-party reservations and permits that often cannot be cancelled without penalty.

5. Changes & Transfers

Requests to change dates or transfer bookings:

• Subject to availability
• May incur administrative or supplier fees
• Not guaranteed

6. Force Majeure

White Mountain Camp is not liable for cancellations or modifications due to:

• Natural disasters
• Government restrictions
• Political instability
• Airline disruptions
• Events beyond reasonable control

Credits or rescheduling options may be offered where feasible.

7. Acknowledgement

By confirming a booking, guests acknowledge and accept this Refund & Payment Policy.
